Callbot

In one sentence

A callbot is a voicebot that works inside phone calls: it answers inbound calls or places outbound ones, talks with the person by voice and handles tasks such as bookings, reminders or lead qualification, connected to your phone system and your tools.

Also known as: phone bot · AI phone agent · AI calling agent · voice agent for calls

What is a callbot?

“Callbot” and “voicebot” are often used interchangeably, but they aren’t quite the same. A voicebot is any bot that talks, whether on a website, in an app or on a smart speaker. A callbot is the one that lives on the phone. That brings telephony requirements of its own: having numbers, plugging into the phone system, transferring calls, recording them where appropriate and coping with phone-line audio, which is lower quality than a microphone.

How it works

Inbound calls. The callbot picks up, greets the caller, introduces itself as an assistant and asks how it can help. It listens using speech to text, decides with a language model and replies with a synthetic voice. Depending on the case, it books an appointment, takes a message or transfers to a person.

Outbound calls. The callbot dials a number from a list, checks it’s speaking to the right person and does the job: confirm an appointment, say an order is ready or ask a specific question. The outcome is logged.

On the phone, latency matters even more: silence on the line sounds like a dropped call.

Example

A veterinary practice in York is losing money on missed appointments. Its callbot rings each client the day before: “Hello, I’m calling from the practice to remind you about Kira’s vaccination tomorrow at 5 pm. Does that still suit you?” If the client wants to change it, the callbot offers another slot and books it. In the mornings, the same callbot answers inbound calls while the team is with patients.

Callbots at UTIO

UTIO’s voice agent works as a callbot on UTIO’s own carrier network. Inbound, it answers 24/7, books into real free slots, qualifies callers, takes messages and transfers by time of day, by topic or when the caller asks. Outbound, it makes appointment reminders and customer notifications; outbound calls are available from the Business plan, and the campaign dialer, with lists and retries, on the Contact plan.

It always introduces itself as a virtual assistant, and every call is logged in the CRM.

Frequently asked questions

Can a callbot make outbound calls?

Yes. The most common uses are appointment reminders, customer notifications and surveys. Unsolicited sales calls are tightly regulated in the UK and the EU, so before running a campaign, check you have a lawful basis to call each contact.

Does the caller know they're talking to a callbot?

They should. It's good practice, and in line with the transparency the EU AI Act asks for, for the callbot to introduce itself as a virtual assistant at the start of the call.

What happens if the callbot can't handle the call?

A well-configured callbot transfers the call to a person with the reason already noted, or takes a message and schedules a call-back. That way out matters as much as what it resolves on its own.

  • Voicebot

A voicebot is a program that holds spoken conversations: it listens to what a person says, works out what they want and answers out loud. It can run on a phone line, a website, an app or a smart speaker, and with generative AI it handles open conversation, not just menus.

  • Latency

Latency is the time between making a request and starting to receive the response. In a voice agent, it's the silence from the moment the caller stops talking to the moment they hear the agent's first word, and it decides whether the call sounds natural.

  • Human handoff

Human handoff is the point at which a chatbot or AI agent passes the conversation to a member of staff, together with the context it has gathered, because the case needs it, a rule requires it or the customer asks for it.

  • AI agent

An AI agent is a system that uses a language model to understand a request, decide which steps to take and carry them out with real tools, such as your calendar or CRM, until the task is done rather than just replying.

  • Speech to text

Speech to text (STT) is the technology that turns spoken audio into written text. It's the software component, usually a model reached through an API, that does the listening in a voicebot, a dictation tool or a transcription service, either live or on recordings.
