AI automation

In one sentence

AI automation means using artificial intelligence models to handle tasks that used to need human judgement, such as reading a message, working out what it asks for and choosing the next step, rather than just repeating fixed steps defined in advance.

Also known as: automation with AI · intelligent automation · AI-powered automation · hyperautomation

What is AI automation?

Automation isn’t new. Rules like “when an order comes in, send an email” have run for decades. The limit was anything that didn’t arrive neatly structured: an email dashed off in a hurry, a call where the customer explains the problem in their own words, a photo of a delivery note. That needed a person.

AI moves the limit. A language model can read or listen, grasp the intent and pull out the details. That lets automation reach tasks it used to leave behind.

How it works

A typical workflow has four parts:

  1. Trigger. Something happens: a call comes in, a WhatsApp message arrives, a system sends a webhook.
  2. Understanding. The model works out what’s being asked and what data is there.
  3. Action. The system acts through an API: it books, replies, updates the CRM.
  4. Control. Rules decide what it may do alone and when the case goes to a person.

When the model itself decides which steps to take to finish a whole task, we call it an AI agent. That’s the most advanced form of AI automation, and the one that needs the most supervision at the start.

Example

A bike parts shop in Leeds gets messages every day like “do you have the 11-speed chain for my bike?” and “where’s my order?”. The owner used to answer them between customers. Now an agent reads each message, checks the order status or the catalogue and replies. Anything it can’t handle, such as a return for a damaged part, it logs for the owner with the full conversation attached.

AI automation at UTIO

UTIO automates voice, WhatsApp and email handling with agents that work on the same CRM. You choose the level of autonomy on all four channels: no AI, ask first, draft or automatic. Most businesses start in draft mode, where the agent writes but sends nothing without your say-so, and widen its scope task by task.

The tasks already running in production are grouped into verticals: appointments and bookings, leads and sales, support, personal assistant and e-commerce. What each plan includes is on the pricing page.

Frequently asked questions

What is the difference between AI automation and RPA?

RPA repeats clicks and on-screen steps following fixed rules: if the form changes, it breaks. AI automation understands variable content, such as a free-form email or a phone call, and decides what to do. The two are often combined.

Which tasks should I automate first?

Repetitive, high-volume tasks whose result is easy to check: answering common questions, booking appointments, sorting emails or entering data in the CRM. Leave anything that's costly to get wrong for later.

Does AI automation make mistakes?

Yes, like any system. Design makes the difference: human review at the start, clear rules about what it can do on its own and a quick route to hand the case to a person.

Related terms

  • AI agent

An AI agent is a system that uses a language model to understand a request, decide which steps to take and carry them out with real tools, such as your calendar or CRM, until the task is done rather than just replying.

  • Webhook

A webhook is an automatic notification that one system sends to another system's web address when an event happens, such as a new booking or an incoming message, so the second system can react straight away without having to ask.

  • API

An API (application programming interface) is a set of rules that lets one program ask another for data or an action: you send a request in an agreed format and get a response back, without needing to know how the other system works inside.

  • Agentic AI

Agentic AI is AI that pursues a goal instead of just answering: it plans steps, uses tools, checks the results and decides what to do next with a degree of autonomy, within rules set by a person.

  • Human handoff

Human handoff is the point at which a chatbot or AI agent passes the conversation to a member of staff, together with the context it has gathered, because the case needs it, a rule requires it or the customer asks for it.
