AI copilot

In one sentence

An AI copilot is an assistant built into a work tool that suggests, drafts or summarises while a person works, without acting on its own: the final decision and the send button always stay with the user.

Also known as: copilot · AI assistant · embedded AI assistant · assistive AI

What is an AI copilot?

The metaphor comes from flying: the co-pilot helps, monitors and suggests, but the captain decides. An AI copilot lives inside a tool you already use (email, word processor, coding environment, CRM) and helps as you work: it drafts a reply, summarises a long thread, suggests the next step.

What sets it apart from its neighbours is who’s in control:

A virtual assistant talks directly to the customer; an AI agent completes tasks by itself. A copilot, by contrast, never sends anything until you’ve approved it.

How it works

  1. It reads the context of what you’re doing: the open email, the customer record, the document.
  2. It generates a proposal with a language model: a reply, a summary, a label.
  3. It shows it to you so you can accept, edit or discard it.
  4. It learns from your use only if the tool allows it, for instance by matching the tone of your corrections.

How useful it is depends on the quality of the context it gets. A copilot that can’t see your product information will end up writing generic text.

Example

An accountancy practice in Leicester gets dozens of emails a day with similar questions from clients. With a copilot in the inbox, every message arrives with a draft reply already written in the firm’s tone. A member of staff reads it, fixes a figure and sends it. The job shifts from writing to reviewing.

What it means for your business

Starting with a copilot is the most cautious way to bring in AI: nobody loses control, and you see on real cases whether the suggestions hit the mark. At UTIO this matches the “ask first” and “draft” modes, available on every channel. With the email agent, most customers start in draft mode: the agent prepares the reply in your tone and you review and send it. Once it proves accurate, you move up to automatic, one task at a time.

Frequently asked questions

Is an AI copilot the same as Microsoft Copilot?

Microsoft Copilot is one product that made the name popular. 'AI copilot' is the general category: any assistant built into a tool (email, code, CRM) that proposes while you decide.

What's the difference between a copilot and an AI agent?

A copilot works with you: it suggests and you approve. An agent works for you: it carries out the whole task within set rules. Many systems let you switch between the two depending on how much you trust the output.

Can a copilot see all my data?

It sees whatever the tool it lives in allows. Check its permissions, where the data is processed and whether it's used to train third-party models.
