Agent orchestration
In one sentence
Agent orchestration is the coordination of several specialised AI agents so they complete a task together: one component decides which agent acts at each step, what information it receives and how the results are combined.
Also known as: multi-agent orchestration · multi-agent system · AI orchestration · agent coordination
What is agent orchestration?
When a task is long or touches many systems, handing all of it to a single AI agent makes it slow and error-prone: endless instructions, too many tools and a lot of context to process. The alternative is to split the work between specialised agents and coordinate them. That coordination is called orchestration.

See UTIO StudioHow it works
There are three common patterns:
| Pattern | How the work is split | When it fits |
|---|---|---|
| Central orchestrator | One agent takes the request and delegates to specialists | Varied requests that need sorting first |
| Chain | Each agent does one step and hands the result on | Fixed processes: read, extract, validate, log |
| Collaboration | Agents share a common memory and act when it’s their turn | Open-ended tasks with several sources |
Whatever the pattern, the orchestrator answers the same questions: whose turn it is, with what context, and what to do if something fails. Shared context usually lives in a common memory, and each agent receives only the tokens it needs rather than the whole history.
Orchestration isn’t always AI. Often a simple rule does the routing, such as detecting the intent of a message and sending it to the sales agent or the support agent.
Example
An office supplies wholesaler in Cork takes orders by email and on WhatsApp. A first agent reads each message and decides whether it’s an order, a complaint or a question. For an order, a second agent extracts product codes and quantities and checks stock. A third writes the confirmation to the customer. Complaints go to an agent that opens a ticket with the details and assigns it to the support team.
What it means for your business
For a small business, what matters isn’t how many agents there are but whether they share the same data. In UTIO bundles, the voice, WhatsApp and email agents share the CRM, the calendar and the script: what one logs, the others see, and they’re wired into your business in a single project. If you’re an agency and want to offer agents to your clients under your own brand, UTIO Studio provides the platform, the telephony and the models.
Frequently asked questions
Why use several agents instead of one?
Because an agent with short instructions and only a few tools makes fewer mistakes than one that does everything. Splitting the work makes each part easier to test, lets you limit permissions and means you can swap one piece without touching the rest.
What is an orchestrator agent?
It's the agent that receives the request, decides which specialist agent should handle it, passes on the context it needs and pulls the answers together. Sometimes it isn't an AI at all but a flow with fixed rules.
Does a small business need agent orchestration?
Rarely on day one. The usual starting point is one agent per channel, all sharing the same data, such as the CRM and the calendar. Complex orchestration makes sense once you have many different processes.

An AI agent is a system that uses a language model to understand a request, decide which steps to take and carry them out with real tools, such as your calendar or CRM, until the task is done rather than just replying.

Agentic AI is AI that pursues a goal instead of just answering: it plans steps, uses tools, checks the results and decides what to do next with a degree of autonomy, within rules set by a person.
- Agent memory
Agent memory is the information an AI agent keeps so it can use it later: what has been said in the current conversation (short-term) and stored details from earlier conversations, such as a customer's preferences or history (long-term).
- Function calling
Function calling is a language model's ability to reply, instead of with text, with a structured request to use a specific function, giving its name and arguments. Your system runs that function and hands the result back to the model.
